Employee leave taken for extenuating circumstances falls into two categories as defined in the Board Policy Manual, section DEC. These are:
- Personal Business Leave — used for “personal business that cannot be transacted outside the employee’s normal workday.”
- Emergencies — “not otherwise covered” by the policy manual.

The procedures to request leave for personal business reasons are as follows:
- Complete an Application for Leave form. Prior notice to the supervisor is required for leave in non-emergency situations.
- Employees will ensure essential duties of their jobs will be adequately covered during the scheduled absence. Instructors will assist the Division Dean in locating a suitable substitute, when applicable.
- Instructors should prepare materials and/or assignments for classes so that meaningful learning experiences will take place in their absence. Instructors should also inform substitutes in advance of the leave period.
- No reason is needed for taking extenuating circumstances for personal business reasons; however, a reason is needed for emergency leave.

Procedures for requesting leave for emergency reasons are as follows:
- Employees should notify their immediate supervisor or Division Dean as soon as possible and complete a leave form either before or immediately following the return from leave.
- Whenever possible, employees should try to adhere to #2 and #3 above when requesting leave for personal business reasons.
