Subject: Student Complaints

Student complaints about academic issues follow the procedure outlined in the Dallas County Community College District Board of Trustees’ Board Policy FLD (LOCAL). The process is outlined on the college’s Student Comments/Concerns form, available from any academic division office or the office of the Vice President of Academic Affairs and Student Success.

The complaint form used by the instructional divisions allows students to submit written concerns about instructional issues such as grade disputes and other instructor issues. The process includes verification of student discussion of a complaint with an instructor, student and instructor documentation of instructor’s response, the academic dean’s notes following an appointment with the student and the certification of the dean’s written response to the student with copy to the instructor. The Vice President of Academic Affairs and Student Success is copied if the student is dissatisfied with the academic dean’s decision and requests a meeting with the vice president. The procedure for complaints regarding online courses is the same as that used for on-campus classes.

Academic Complaints

Student complaints falling outside the academic realm follow the procedure outlined in the Dallas County Community College District Board of Trustees’ Board Policy FLD (LOCAL). All stages of the complaint process are to be documented by the affected employees.

Student complaints falling outside the academic realm are handled through the Office of the Vice President of Student Services and Enrollment Management and follow the procedure outlined in the Board Policy Manual FLD (LOCAL). The Student Complaint Form used by the student services departments allows students to specify a specific student services department, and gives the student the opportunity to document in writing any concerns that deal with college, district, and state policies as well as customer service issues. A Documentation of Complaint Form is used by Student Services staff with this procedure.

Separate procedures for complaints regarding sexual harassment are published on the college website, which links to an accompanying brochure. The procedures followed are based upon policies in the Board Policy Manual FDE (LEGAL) and (LOCAL) and DOA (REGULATION).
