New Student Database

To promote the collection and greater use of student data, a new database has been developed at Brookhaven College that incorporates the best of the district Colleague database system as well as data particular to Brookhaven students. The elements of the new database (called SSIS - Student Success Information System) are a result of contributions by the Title III participants. The primary purpose of SSIS is to enable better tracking of students while providing faculty and other users easier, more convenient access to the data. The hope is that relevant and accessible data will enhance interactions and interventions with the students, resulting in greater student success. The first graphic below illustrates student information from the main SSIS screen.

Colleague is the source of most of the information on this screen.

Additional information, such as student e-mail addresses, phone numbers, and learning style, can be added by the user.  By clicking the “Profile” button, a profile screen (see below) for the student pops up with information that is based primarily on the Student Information Profile (SIP) form.

The Student Profile screen provides information such as student interests, family status, work load, disabilities, and, eventually, learning styles. Most of the SSIS screens can be edited by the user.  So if a faculty member knew this student’s family status, learning style, or other missing/relevant profile information, the instructor could add that information to this screen.  Of course, certain SSIS information will be confidential and restricted.  Security and accessibility issues for the database are currently under consideration.

Returning to the main screen and clicking the “Previous Courses” button brings up a list of all the courses the student has taken in the DCCCD (see Previous Courses screen below).  Other information such as course grade, semester, and instructor is included. By checking the “Show Dev Only” box, only developmental courses will be listed. This course history data also comes from Colleague and is not able to be edited. By checking prior courses and grades, an instructor or counselor may be able to better decide whether or not a student has been placed correctly in a class.

Selecting the “Scores” option on the SSIS main screen brings up the assessment screen below. This screen contains all the testing information available in Colleague for the student.  Additional testing information can be added in the comment window. Scores and dates of tests administered are included. A TASP summary is given indicating whether or not the student has met TASP requirements for the individual subject areas of math, reading, and writing.

The last SSIS screen presented below, titled “Current Sections,” enables an instructor to quickly look up his/her class and view a list of registered students. By clicking on a student name, the main SSIS Student Information screen pops up for that student.  Clicking on the other buttons (“Program Major,” “Previous Courses,” “Assessment”) pops up information from those screens for the student selected.  A “Programs” box is also illustrated below for one of the students.

Many other options will be available as SSIS develops, such as a wider range of screens/reports, tracking of student cohorts, and user-friendly queries. Stay tuned for updates.
