Subject: Electronic Delivery of Courses

In order to assure compliance with the Southern Association of Colleges and Schools’ requirements concerning timely submission of requests for approval of programs in which 25 – 49% or 50% or more of a program’s credits are available electronically, all requests for new electronically-delivered courses will follow these procedures.   Rational

  1. A faculty member and the faculty member’s division dean determine the course to be offered electronically and the semester in which the new electronically-delivered course will be offered for the first time.
  2. 2. The dean of the faculty member’s division will notify the Executive Dean of Distance Learning at least seven months prior to the beginning of the semester the course is to be offered.
  3. The Executive Dean of Distance Learning:
    1. will review the request with the faculty member and the faculty member’s dean and determine what, if any, professional development training or course development will be necessary; and,
    2. will audit, together with the faculty member’s dean, any impacted degree programs to determine if 50% or more of any program’s credits will become available electronically. The Executive Dean of Distance Learning will notify the office of the Vice President of Learning and Student Success of any impacted programs at least two weeks and six months prior to the semester the course is proposed to be offered electronically. Should the audit determine that 25 – 49% of a program’s credits will be available electronically, the office of the Vice President of Learning and Student Success will be notified at least one month prior to the semester the course is proposed to be offered electronically.
  4. The office of the Vice President of Learning and Student Success will review the extent to which the proposed course causes a substantive change in any college program. Should a substantive change notification be required, the office of the Vice President of Learning and Student Success will draft a notification of substantive change for the college president’s signature. The notification will be forwarded to the Commission on Colleges of the Southern Association of Colleges and Schools no later than six months prior to the first semester of the program’s changed status for those programs exceeding the 50% threshold. For programs falling within the 25 – 49% category, the notification will be forwarded prior to the implementation.

The Office of New Program Development will notify the office of the Vice President of Learning and Student Success of proposed programs in a timely manner to assure the college’s adherence with the Commission on College’s guidelines on distance learning.
